Request for Reclassification

The request for reclassification process can be initiated in two ways: employee initiated or supervisor initiated.


Employee Initiated.

1. Review the most current Job Description on file with Human Resources. Analyze closely the defined “Duties & Responsibilities” of the position.

2. Review each level on the Classification Description for Staff and compare the position’s “Duties & Responsibilities” to those of each level.

3. If determined a position reclassification is needed, meet with immediate supervisor to discuss.

4. If the immediate supervisor supports the determination, complete the following form:

Attach documentation to support the determination including any changes to the Job Description. Submit completed form(s) and all documentation to the immediate supervisor for review and approval.

5. If approved by the supervisor, the Classification Checklist, support documentation, and amended Job Description are forwarded to Human Resources for processing. If the supervisor does not approve the request, the employee can contact Human Resources to request a desk audit.


Supervisor Initiated.

1. Review the most current Job Description on file with Human Resources. Analyze closely the defined “Duties & Responsibilities” of the position.

2. Review each level on the Classification Description for Staff and compare the position’s “Duties & Responsibilities” to those of each level.

3. If determined a position re-classification is needed, complete the following form:

Attach documentation to support the determination including any changes to the Job Description. Meet with the affected employee and explain the process, reasoning, and purpose.

4. The Classification Checklist, support documentation, and amended Job Description are forwarded to Human Resources for processing.

Human Resources will process the Classification Checklist to obtain a score. The level where the obtained score belongs is defined on the following table:

Results can be:

1. Raised: Obtained score from Classification Checklist is found to be in a higher classification level.

  • Notification is sent to both the supervisor and employee.
  • All documents referencing the classification level of the position are amended.
  • The new target salary is effective July 1st of the next fiscal year and will be applied by using the Staff-Pay for Performance System.

2. Lowered: Obtained score from Classification Checklist is found not to be in a higher classification level.

  • Notification is sent to both the supervisor and employee.
  • All documents referencing the classification level of the position are amended.
  • Target market value will be adjusted accordingly.

3. No Change: Obtained score from Classification Checklist is found to be within the current classification level.

  • Notification is sent to both the supervisor and employee.
